Assistant, Group Marketing & Audiences @ Penguin Random House

You will be responsible for providing PA support to the Director, Group Marketing & Audiences including: diary management, booking meeting rooms, managing the Director’s expenses, and helping with budget management. This includes managing confidential information.

There are further administrative duties to support the Group Marketing & Audiences team – such as organising essential team meetings, circulating agendas/minutes, managing the departmental desk calendar, coordinating new joiner processes, booking travel, and other ad hoc support. Working with the wider team is also an opportunity for you to be a key and willing participant in content and campaign brainstorms across the team.

This role would suit someone with experience in the entertainment industry or of event coordination, however this is not essential. You will be skilled at Microsoft Office (including Outlook, Excel, Powerpoint and Word), while knowledge of Photoshop is useful.

Department Assistant, Sales @ Penguin Random House

Your day-to-day role will be varied – here are some of the things you could be working on:

  • Organising the diary and daily schedule for each manager drawing their attention to anything important/urgent. You’ll need to be proactive and flexible in your approach as this is a fast-changing environment
  • Organising meetings internally and externally across multiple sites and venues. This may include high profile off site events
  • Supporting meetings with the preparation of reports and agendas in advance, formatting and producing both PowerPoint presentations and Excel spreadsheets and the taking and typing of minutes
  • Being responsible for producing regular reports
  • Assisting the wider team with travel bookings, meeting requests and catering as required
  • Taking on additional departmental duties or responsibilities as required supporting the Senior PA in the department

This is a brand new role, initially on a 6 month fixed-term contract but with possibility to extend further down the line.

We are looking for someone exceptionally organised, with excellent attention to detail and able to demonstrate good initiative in order to respond to the variety of work, and the last minute changes and requests you’ll be dealing with. Being proactive and anticipating needs ahead of time is crucial to the success of this role. A working knowledge of Microsoft Office, particularly Outlook, PowerPoint, Excel and Word is key.

Production Assistant @ Watkins Media

Reporting to the Production Manager you will maintain relationships with our current printer list, as well as nurture new ones, and you will work closely with the sales and editorial team to ensure projects stay on schedule and within budget. A cool head under pressure is a must, as is the ability to solve problems quickly and effectively. Experience working on co-editions would be an advantage. (One year’s experience preferable)
KEY RESPONSIBILITIES:
Manage book production for all reprints, co-editions and new monochrome titles, including:
Requesting prices from printers
Creating P&L’s for approval
Scheduling books so they are produced to required dates
Negotiating prices and placing with the most cost-efficient printer
Creating design schedules for repro work
Liaising with editorial and design
Sending files to printers, including editing files and generating PDFs if required (Using Quark and Indesign)
Working with plotter schedules, and approvals until advance stage
Working with foreign language editions, thoroughly checking and editing files where required
Coordinating shipping including the management of all paperwork
Ensuring that schedules are co-ordinated and communicated to all relevant staff

Editorial Assistants (TWO!!!) @ Peter Lang Ltd. (Oxford)
We are pleased to be recruiting for two new Editorial Assistants in our busy Oxford office. One position will be full time, the other part time (50%, hours to be negotiated). We are seeking enthusiastic, well-organised and detail-oriented candidates to support our Commissioning Editors and Publishing Director. The ideal candidates will be native English speakers with some understanding of academic publishing. Contracts Assistant @ Little, Brown

Key tasks include providing admin support to the Contracts Director and rest of the team, as well as handling permissions requests and contractual paperwork such as addenda and introducer contracts. The role entails working closely with Little, Brown’s Editorial and Rights departments, and also involves developing and maintaining relationships with other Hachette UK contracts teams as part of the wider group Contracts department. The role reports to the Little, Brown Contracts Director.

We are looking for a self-motivated individual who has excellent eye for detail, is good at working as part of a team and meeting deadlines, and is organised and diligent. You must have solid administration skills and manage a varied workload.  Strong computer skills are essential and some experience of permissions and copyright would be an advantage. International Sales Assistant (French) @ DK

Responsibilities will include: liaising with internal departments and customers, drafting contracts, sending materials to our publishing partners, invoicing, processing of export orders, maintaining forecasting systems and databases, tracking titles through the production process and resolving any problems that arise. As Publicity Assistant you will support Scholastic’s Trade Publicity department in building and maintaining the profile of our authors, brands and titles which will ultimately support sales. As well as providing support across all publicity campaigns, you will work on you own allocated titles. You will also assist with wider PR initiatives such as our exciting events programme and awards submissions.

This role requires a positive can-do attitude, outstanding interpersonal skills, excellent attention to detail and the ability to work under pressure whilst remaining organised in all aspects of your work. Ideally, you will have experience in Publicity and/or Marketing preferably in the Publishing industry as well as enthusiasm and the drive to succeed. You will also have professional experience of writing, editing and proofreading in a communications environment across multimedia platforms.
